Items

Manage your products and services catalogue including pricing, tax categories, and GL accounts.

List View

Go to Items from the Administration hub or main navigation. Stat cards show Total, Goods, Services, and Active items.

Column Description
Code Item code
Name Item name
Description Short description
Type Goods or Service
Base Unit Default unit of measure
Tax Category Default sales tax category
WHT Default withholding tax category
Status Active / Inactive

Filter by Type (All, Goods, Service) or check Show Inactive to include retired items.

Item Types

Type Description
Goods Physical items tracked in inventory. Stock increases on purchase receipt; decreases on delivery.
Service Non-physical services. No stock movement.

Creating an Item

Click New Item and fill in:

Field Description
Code Unique item code (required)
Name Item name (required)
Type Goods or Service (required)
Base Unit Default unit of measure
Tax Category Default sales tax
WHT Default withholding tax category
Description Optional description

GL Accounts

Field Description
Sales Account Revenue account for sales
Purchase Account Expense or COGS account for purchases
Inventory Account Balance sheet inventory account (Goods only)

Unit Conversions (optional)

Define alternate units and their conversion factors relative to the base unit. For example, base unit = pcs, alternate = box (12 pcs).

Price Levels (optional)

Define multiple selling prices for different customer tiers or price agreements.

Notes

  • Inactive items cannot be selected on new transactions.
  • Goods items require an Inventory Account; Service items do not.
  • Tax Category and WHT reference records you define in Administration → Tax Categories and Administration → WHT Configuration. You name them to match your local regulations — the application has no built-in country-specific tax logic.
