Sales Orders

Manage customer orders from creation through delivery and invoicing.

List View

Go to Transactions → Sales Orders. The list shows Number, Date, Customer, Reference, Subtotal, Tax, WHT, Total, Delivery Status, and Invoice Status.

Creating a Sales Order

Click New Sales Order and fill in:

Header Fields

Field Description
SO Number Auto-generated (configurable in Voucher Numbers)
Date Order date (required)
Customer Select from parties list (required)
Reference Customer PO or reference number
Currency Order currency
Exchange Rate Auto-filled for foreign currencies
Project Optional project tag
Salesman Optional salesman assignment
Narration Notes for the order
Billing Address Customer billing address
Shipping Address Delivery address
Tax Basis Tax calculation basis
Discount Type Line discount type
Default Location Default inventory location for lines

Line Items

Column Description
Code Item code
Item Description Item name and description
Location Inventory location
Qty / Unit Quantity and unit of measure
Price Unit selling price
Discount Line discount
Amount Line total before tax
Tax / WHT Tax and withholding tax category
Tax Amount Calculated tax
WHT Amount Calculated withholding tax
Total Line total including tax

Click Save to record the order.

Status

Column Values
Delivery Status Pending / Delivered
Invoice Status Pending / Invoiced

Both statuses update automatically as delivery notes and sales invoices are created against the order.

Creating a Delivery Note from a Sales Order

Open a saved sales order and click New Delivery Note to create a Delivery Note pre-filled with the order lines.

Creating an Invoice from a Sales Order

Open a saved sales order and click New Sales Invoice to create a Sales Invoice pre-filled from the order.
