Fixed Assets

Register and depreciate fixed (PPE) and intangible assets using straight-line depreciation.

List View

Go to Fixed Assets from the main menu. Stat cards show Total Assets, Active, Total Net Book Value, and Fully Depreciated count.

Column Description
Code Asset code (e.g., FA-001)
Name Asset name
Type Fixed Asset (PPE) or Intangible Asset
Acquisition Date Date of purchase
Cost Acquisition cost
Accumulated Depr. Total depreciation posted to date
Net Book Value Cost minus accumulated depreciation
Status Active / Fully Depreciated / Disposed

Use the Type filter to show only fixed or intangible assets. Check Show Inactive to include disposed assets.

Adding an Asset

Click Add Asset and fill in:

Asset Information

Field Description
Asset Code Unique identifier (e.g., FA-001)
Asset Type Fixed Asset (PPE) or Intangible Asset
Asset Name Descriptive name
Description Optional notes

Acquisition & Depreciation

Field Description
Acquisition Date Purchase date (required)
Acquisition Cost Total cost including installation
Salvage Value Estimated residual value at end of life
Useful Life Depreciation period in months

The form calculates and displays the monthly depreciation amount automatically.

GL Accounts

Field Description
Asset Account Balance sheet account (FixedAsset / IntangibleAsset subtype)
Paid From Source account (Cash, Bank, or Accounts Payable)
Accumulated Depreciation Contra-asset account
Depreciation Expense Income statement account

Click Register Asset to save.

Asset Detail

Click a row to open the asset detail. It shows summary cards (Acquisition Cost, Accumulated Depreciation, Net Book Value, Monthly Depreciation), the GL accounts used, and the full depreciation schedule: Period, Opening NBV, Depreciation, Closing NBV, Status (Posted / Pending), and a link to the journal entry when posted.

Depreciation Worksheet

Click Depreciation Worksheet to batch-post depreciation for a period:

  1. Select the Period (month) and click Load.
  2. The worksheet lists all active assets with depreciation amounts for that period.
  3. Click Post All to create journal entries for all pending assets in one step.

Depreciation Report

Click Depreciation Report for a month-by-month depreciation schedule. Set the From and To month range, then click Run Report. Export to Excel or CSV.
